We are seeking a Customer Support Representative who will work within a fast-paced environment to ensure that This position performs duties to support the Facility department targeting primarily administrative duties. This role will coordinate visitors at and within the main lobby including, but not limited to customers, vendors and HID employees. This position will manage vendors and contractors locating their internal contacts, process each visitor through the Easy Lobby program utilized for visitor management, coordinate with outside departments to ensure lost or forgotten badge process is followed, produce and maintain weekly reports from badge management program, and maintain the corporate phone directory and route incoming calls accordingly.

Duties and Responsibilities include the following. Other duties may be assigned.

  • Day-to-day operational support of the Facilities and Security departments
  • Provide customer support for the Work Order process as well as execute customer requests for meeting arrangements, directing users to programs in place and processes to ensure quality meetings and positive experiences for visitors.
  • Plan, organize and prioritize assistance of lobby guests and issuance of new hire credentials.
  • Respond to Front Desk calls and direct customers as needed.
  • Supports vendors and contractors in making contact with those expecting support.
  • Work with Security to ensure each visitor or employee is in possession of required credentials prior to accessing the facility.
  • Provide feedback to departments on process improvements and increasing operational efficiency.
  • Support all Facility site services and operations.
  • Respond to requests for support for Security and Facilities services within the facilities team and by internal customers.
  • Provide excellent customer service to internal and external customers.

  • Excellent communication, time management and organizational skills.
  • Familiar with project management principles.
    Knowledge of Facilities operations a plus.
  • Familiar with Facility coordination and procedures as well as front desk operations and visitor management processes.
  • Present a businesslike, professional manner and appearance at all times.

Education and/or Experience          

  • High School Diploma or equivalent
  • Associate Degree preferred
  • 1-2 years prior experience in an Administrative role preferred

      Language Skills                   

  • Ability to effectively communicate in the English language, both verbally and in writing.
  • Ability to liaison with employees and guests visiting from global locations.
  • Multi-lingual is a plus but is not required.             

Computer Skills     

  • Proficient in MS Office applications, such as Word, Excel, PowerPoint, etc.
  • Familiar with operating systems, such as Windows, etc.
  • Proficient knowledge in operating standard office equipment.
