Participates in work related to and including tasks associated with (but not limited to) goods moving out of a country. They will receive, monitor and process export documentation relating to region specific requirements, ensuring the correct paperwork is in place for shipments and their exporters. A key part of the role is to monitor freight throughout the export process and report to Logistics Planning Lead of any risks and ensure daily targets are met.  The Snr Export Administrator is an active, hands-on position and is expected to fill in as demand requires. Additionally, the Snr Export Administrator is expected to train / coach / mentor team members. Based on the nature of the role, to actively participate in Issue investigations and continuous improvement projects. This person is an active, working member of the team and will be side-by-side with team members on a frequent basis.

Duties and Responsibilities include the following. Other duties may be assigned.

  • Responsible for ensuring smooth operation of Customer collected shipment process
  • Liaise between the shipping, customer services, freight forwarders, compliance and operations teams
  • Export declaration management (including IPS)
  • Supporting on time delivery to Customers
  • Attending daily meetings to report progress including daily reporting Supervise, lead, coach and drive Team Members to achieve area specific KPIs
  • Step into various individual contributor roles within the team as demand requires
  • Facilitate Team Member training of SOPs and work instructions for, but not limited to Export Goods In, Material Handling, Inventory Control and Shipping
  • Participate in root cause investigations when KPI Targets are missed
  • Participate in the implementation of containment, corrective and / or preventive actions related to specific issues or KPI misses
  • Proactively escalate potential issues in order to minimize safety, quality, delivery issues and / or operational inefficiencies
  • Assist Logistics Planning Lead with tracking individual employee performance to KPIs and provide ongoing, relevant and actionable feedback
  • Maintain, control policies, procedures and best practices
  • Works collaboratively across functional boundaries with but not limited to Customer Service, Buyers, Planners, Schedulers, Quality and Value Stream Managers / Supervisors / Leads



  • Ability to lead and motivate without direct reporting authority is required
  • Previous experience or knowledge in Logistics (Air, Sea and Road)
  • Previous experience in an Administrative environment
  • Prior experience in an Export/Logistics Position is desired
  • Must possess an innate sense of collaboration and interpersonal abilities as success of this role will depend on strong relationships with peers in other areas
  • Must be familiar with routing slips, material requisitions, and job / work orders
  • Must have flexibility to work overtime as required (including weekends) and periodically work a different shift
  • Skilled at managing time and priorities

Education and/or Experience         

  • Must have a secondary school education or equivalent
  • Minimum 2 years’ experience in Export/Logistics or any equivalent combination of education or experience preferably in an Export/Logistics environment
  • Prior experience as a team lead or equivalent is preferred

Language Skills                   

  • Ability to effectively communicate in the English language verbally and in writing
  • Ability to read and interpret technical journals, specs, international technical standards, etc.              

Computer Skills     

  • Proficient in MS Office applications, such as Word, Excel, PowerPoint, etc.
  • Familiar with Oracle or similar ERP system
  • Familiar with Descartes or similar system
  • Familiar with carrier (DHL, UPS, TNT, FedEx etc.) or similar systems


Customer Expectations

  • Must have a desire to provide the customer with high quality products, on time, every time.
  • Understand and actively demonstrate the principles of HID Global customer centricity policy.


Work Environment

  • Employee works primarily in a fast paced Production & Warehouse environment, within a well ventilated area, and is exposed to moderate noise levels, frequent physical activity lifting up to 40 lbs, able to stand and walk continuously during assigned shift
