The Position: What you will be doing: Summary of job

  • This role encompasses being a working Bid Manager contributing to the Bids and presales teams output.
  • This position is accountable for providing bids and proposals to customers.
  • Must exhibit expertise to prepare proposal packages for large and complex projects that involve system integration.
  • This role involves the preparation of response documents covering the technical, delivery and financial aspects of the proposal.
  • The individual needs to be able to interpret complex customer requirements and work closely with regional sales, product managers and systems teams, to offer solutions that maximize profitability and add value for the customer.
  • The individual will cooperate with and support Sales with technical and administrative information that is required to respond to tenders/customer requests for information.
  • The individual will coordinate the necessary activities according to the information of the tender / Customer requirement with product management, credentials, systems, delivery and supply chain.


What we are looking for:

Duties and Responsibilities include the following. Other duties may be assigned.

  • Manage the overall process and preparation of bids/proposals for opportunities with new and existing customers.
  • Analyse, evaluate and judge on new Tender opportunities together with relevant team managers and members (including but not limited to – Bids and presales Team, Regional Sales, Product Marketing, Systems, individual relevant stakeholders).
  • Ensure that  Risk Assessment and Risk Management is conducted for all relevant opportunities and make them measurable and define mitigation strategies to eliminate, reduce or avoid risks.
  • Work with the appropriate colleagues in HID to ensure concerns and risks are communicated and addressed.
  • Liaise with Product management, credentials and systems to define solutions that meet the specific tender request to ensure a response to the tender/customer requirements adequately.
  • Ensure and coordinate the needed activities and creation of documents so that all necessary information to prepare and participate in tenders/submit proposals are available.
  • Request project specific quotes from suppliers and subcontractors in conjunction with Supply Chain team.
  • Ensure the projects and product costs are validated with the appropriate owners
  • Ensure sales prices are aligned and validated and approved with regional sales, Head of Sales, Head of BU Finance and Managing Director, dependent of the guidelines
  • Assist in continuously improving the bid management processes or developing new concepts to improve the timeline for tenders and the support of customer.
  • Ensure proper and up to date communication with the business stakeholders
  • Keep abreast of latest products, legal and market requirements and trends as well as an overview (as far as possible) on competitors’ products and prices in the corresponding areas.
  • Be informed about relevant basic and specific business standards, guidelines processes and laws.
  • Attend customer and supplier meetings as required, organise and manage bid and tender meetings.
  • Attend trade shows, team and internal meetings as required.
  • Ensure adequate and compliant creation and management of any required CDAs, MOUs, partnership agreements, or letters of intent that are required as part of the bid process.
  • Ensuring that all stakeholders, such as Credentials and Delivery, understand and agree with proposed obligations.

Education and/or Experience

  • Higher technical education and degree.
  • Technical degree with minimum 5 years (recommended) working experience.
  • Must have strong analytical, numerical and organizational skills.
  • At least 2 years of experience in government Tender and Bid Management, Bid Response, solution and/or service orientated business, card/passport business, Identity Solutions.
  • Experience of developing and managing cost models
  • Ability to work in a team.


Language Skills        

  • Excellent written and spoken English required. Additional languages desired.
  • Ability to read and interpret technical journals, specifications, international technical standards, etc.


Computer Skills

  • Proficient in MS Office applications, such as Word, Excel, PowerPoint, etc.
  • Familiar with operating systems, such as Windows, etc.
  • Additional Knowledge of the following software would be an advantage:
    • Salesforce
    • Sharepoint
    • Oracle, Jira, Confluence

Work Requirements

  • Travel and fieldwork including international travel, therefore employee must possess or can acquire a valid Passport.
  • Preferably located in Hong Kong
